Introduction
Dietitian Ro Ltd (trading as Fertility Dietitian UK) is responsible for collecting, processing, storing and safe-keeping personal and other information as part of providing our services and carrying out our regular business activities. We manage personal information in accordance with data protection legislation including the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
We are registered as a Data Controller with the Information Commissioner’s Office, registration number ZA357975.

What information we collect
We only collect and process information which we require to meet specific purposes. The information we may collect about you could include, but is not limited to:
- Contact details such as name and email address
- Personal details and identifiers
- Medical history, dietary information and other clinical data relevant to your care
- Financial information for the processing of payments
- Details about how you use our website, including technical data such as your IP address
Where we ask for special category data, such as health information, this will only be collected where it is necessary to deliver our services and will be handled in line with ICO best practice guidelines.
How we collect and use your information
Most personal information is provided directly and voluntarily by you when you engage with us. We will collect information from you when you:
- Book a consultation or purchase a service or product from us
- Sign up to our email list or download a free resource
- Contact us via our website, email or social media
- Register for or purchase one of our online courses
We collect this information in order to deliver our services, communicate with you, process payments, and where you have given consent, send you marketing communications.
We will not sell or share your personal data with third parties for their own marketing purposes.
Clinical services
Where you engage with us for dietetic consultations or clinical services, we will collect and process personal and clinical information for the purpose of:
- Professional clinical record keeping
- Contacting you in relation to your clinical care
- Sharing relevant information with other healthcare professionals involved in your care, where necessary and with your knowledge
Clinical records are retained for a minimum of 7 years in line with dietetic professional standards and clinical guidelines. You have the right to withdraw consent at any time, however your clinical records will be retained for the minimum period required by law and professional standards.
How we store and transfer your information
We use a number of third-party platforms to deliver our services. These include:
Kartra — we use Kartra to manage our email list, host our online courses, and process transactions. Kartra is operated by Genesis Digital LLC and is based in the United States. Data transferred to Kartra is protected by Standard Contractual Clauses as set out in Kartra’s Data Processing Addendum.
Stripe and PayPal — payments are processed via Stripe and PayPal as sub-processors within Kartra. Both are subject to their own data processing agreements and security certifications.
Affiliate networks — we operate an affiliate programme through a number of third-party platforms including Awin, UpPromote, SecureAttraction, Social Snowball, and others. Each platform processes affiliate data in accordance with their own privacy policies.
Meta and Google — we may run advertising campaigns on Meta (Facebook and Instagram) and Google. Where active, these platforms may collect data about your interactions with our website and ads in accordance with your cookie preferences.
We will only use third-party service providers where we are confident that appropriate safeguards are in place to ensure that any personal data is handled securely and in compliance with UK data protection legislation.
We will not give consent for your information to be used by third-party service providers for the training and development of AI modelling software or similar purposes.
Our third-party providers have their own privacy policies, which you can view on their websites.
International data transfers
Some of the platforms we use, including Kartra, Meta and Google, are based in the United States. Where data is transferred outside the UK, we ensure that appropriate safeguards are in place, such as Standard Contractual Clauses approved by the ICO. Legal basis for processing your data
We will only process your personal data where we have a lawful basis to do so. Depending on the nature of your interaction with us, this may include:
- Your consent, for example when you sign up to our email list or agree to marketing cookies
- The performance of a contract, for example when you purchase a course or book a consultation
- A legal obligation we are required to comply with
- Our legitimate interests, for example using website analytics to improve our site
Where we rely on consent, you have the right to withdraw it at any time. This will not affect the lawfulness of any processing carried out before your consent was withdrawn.
Retention of your data
We will only keep your personal data for as long as is necessary for the purpose for which it was collected. Clinical records are retained for a minimum of 7 years in line with dietetic professional standards. For other data, we will retain it only for as long as required to deliver our services or as required by law.

Marketing emails

You have a number of rights in relation to the personal data we hold about you, including:
- The right to access the personal data we hold about you
- The right to request that we correct any inaccurate or incomplete data
- The right to request that we erase your data in certain circumstances
- The right to restrict or object to our processing of your data in certain circumstances
- The right to data portability
- The right to withdraw consent at any time where processing is based on consent
- The right to lodge a complaint with the ICO

Complaints
